Illustrative workflow

After-hours appointment handling

A caller books outside business hours, and the appointment is confirmed only after the calendar accepts it. This is an example of how it could work, not a client case study.

The starting problem

A service business receives calls in the evening and on weekends. Callers reach voicemail, few leave messages, and the morning starts with a backlog of callbacks to people who may have booked elsewhere.

Where a person intervenes

  • Staff review the callback queue first thing in the morning, with each caller's reason and preferred time.
  • Urgent or emergency calls follow the business's on-call instructions instead of the booking flow.
  • A manager reviews call summaries weekly to update answers and booking rules.

How the workflow operates

  1. 01

An AI receptionist answers the call, says it is an automated assistant, and asks how it can help.

  2. 02

For a booking request, it collects the caller's name, number, service needed, and preferred times.

  3. 03

It checks open times in the scheduling system and offers options.

  4. 04

It submits the chosen time and confirms the appointment only after the scheduling system accepts it.

  5. 05

The call summary and appointment are recorded in the CRM.

  6. 06

If no time works, the system is unavailable, or the caller asks for a person, it creates a callback request for staff.

What it depends on

Whether this works in your business depends on these, so we confirm them before design.

  • A scheduling system that exposes availability and accepts bookings
  • Written business rules: hours, services offered, and what counts as an emergency
  • A CRM or contact record where calls and bookings are logged
  • A named person or team who owns the callback queue

What happens when something fails

Every automated step needs a defined fallback and an owner.

  • If the calendar cannot be reached, no booking is promised and a callback request is created instead.
  • If the assistant is unsure what the caller said, it repeats the detail back or offers a person.
  • If the CRM write fails, the call summary is queued and an alert goes to the workflow owner.
  • If the caller asks for a person at any point, a callback request is created immediately.
